6. Schools as Data Controllers
In many circumstances, the school using SSync determines what student, parent, guardian and staff information is entered into the platform and why that information is processed.
Accordingly, a school may act as the organisation responsible for determining the purposes of processing its school community's information, while SSync provides the technology used to process that information on the school's behalf.
Requests relating to school records may therefore need to be handled by the relevant school.
7. Consent and Communication Preferences
Where consent is required for a particular communication channel or processing activity, SSync or the relevant school may request appropriate consent.
Users may also be provided with options to manage communication preferences.
For WhatsApp communications, recipients may request that non-essential messages stop by following any opt-out instructions provided or by contacting the relevant school or SSync.
Certain administrative or service-related communications may still be necessary to operate an account or provide requested services.
8. Sharing of Information
We do not sell personal information.
Information may be shared only where necessary with:
- the school responsible for the relevant account or records;
- authorised school administrators and staff;
- technology infrastructure and hosting providers;
- email and communication providers;
- WhatsApp and Meta where WhatsApp messaging is used;
- payment service providers where applicable;
- professional advisers;
- regulators or public authorities where legally required; and
- other service providers necessary to operate SSync.
Service providers are expected to process information only for legitimate service-related purposes and subject to appropriate safeguards.
9. Multi-School Data Separation
SSync is designed as a multi-school platform.
Each participating school operates within a logically separated school environment. SSync implements technical controls intended to prevent one school from accessing another school's confidential student, parent, staff or operational information.
Platform-level infrastructure may process limited routing, security, system and technical information necessary to deliver shared services.
10. Data Security
SSync uses reasonable administrative, technical and organisational measures designed to protect information against:
- unauthorised access;

- destruction.
These measures may include:

No information system can guarantee absolute security, and users are responsible for protecting their account credentials.

- educational and administrative purposes;
- contractual obligations;
- school record-keeping requirements;
- security and audit requirements;
- dispute resolution; and
- applicable legal or regulatory requirements.
Retention periods may differ depending on the type of information and the requirements of the school responsible for the records.
12. Children's and Student Information
SSync is designed for use by educational institutions and may therefore process information relating to children and students.
Student information should only be entered and processed by authorised schools, parents, guardians, staff, or other persons with an appropriate basis for doing so.

Where the information is controlled by a school, SSync may refer the request to the relevant school.
16. Data Deletion Requests
Users may request deletion of eligible personal information by contacting:
The request should include sufficient information to identify the relevant account or school.
Where the information belongs to a school-managed record, the request may need to be authorised or processed by that school.
SSync may retain certain information where required for legal, security, audit, accounting, dispute-resolution, or legitimate record-keeping purposes.
17. Third-Party Services
SSync may integrate with third-party services.
